MailSteward for Mac makes archiving and managing large amounts of e-mail quick and painless. The free version of this application is full featured, but archives a maximum of 15,000 e-mails. To archive more, you need to purchase either MailSteward or MailSteward Pro.

MailSteward for Mac opens to a somewhat overwhelming interface, but this is to be expected as the program provides you with numerous options to easily create databases and manage thousands of e-mails. You are able to print, export, browse, archive, and search your e-mail database, to name a few options. This application also offers many features for saving, importing, exporting, and tagging your vital e-mail data. Selecting "archive e-mails" and inputting the appropriate date range starts the archiving process. Archiving worked out well for us as our e-mails could be grouped according to their i.d., attachments, date, time, recipient, sender, subject, and mailbox information. We were also able to easily select individual e-mails or groups of e-mails to save or export. The application offers several exporting options for database files including MailSteward, SQL, and mbox files.

Overall, MailSteward for Mac performed well, quickly scanning for and archiving selected e-mails and attachments. That's all you need to hear if you have a large volume of e-mails that need to be archived for easy retrieval at a later time. However, if you have more than 15,000 e-mails to handle, you'll definitely need to upgrade to MailSteward Pro.

What's new in version 10.4

Fix bug that caused MailSteward to crash when parsing some rare email configurations.
Add header information to html version display.
Change initial display to 200 most recent emails instead of 500.
Fix bug that caused the contents of the import folder to not be deleted after archiving.
Fix bug - not handling special characters such as umlauts when importing MailTags.
When saving attachments, put numbers before extension for duplicate names, instead of after extension.
Fix bug - not processing Windows line feeds properly.

Pros
One single location to store archives of my mail and provides a single yet highly configurable interface to search my archives based on many different variables.
Cons
The database that gets created is 1.4 times the total space your original email files consume, be prepared to chew up some disk space. Make sure you have plenty of RAM and processing power, you'll need it when you maintain the database.
Summary
The anomaly may be that I have a lot of email with large attachments that might be making my experience worse than others but this is what I have to deal with. I can't exclude the attachments due to their relevance and context to the email. John Seward is responsive and does provide support to his product. Basically, I'm very dissatisfied with the hard drive consumption and the horsepower it consumes. I recently refreshed my MacBook Pro and thinking with all the added power and RAM (8Gb) I figured I wouldn't have an issue. Much to my dismay, it didn't really make any difference. The reality is that when you have reliable applications that do what they are designed to do very well, then you need to support the developer to keep said application in the fray of things and to continue its betterment. Yes, there are some developers who needlessly charge for updates that are simply not worth it (see some of my posts here at VersionTracker) but MailSteward is not one of them. This is a conscientious, and an honest developer who responds to customer concerns, hence, no problem for the upgrade fee for me. I have spent much time corresponding with this developer (regarding minor issues), who has always taken my issues to task and painstakingly worked them out. MailSteward is still best-in-class for a reasonÃ¢??it's that good.

This review was originally posted on VersionTracker.com.<br />It took me at least four days to get all mails from Apple Mail archived; I have around 48.000 valid mails and some 40000 spam/ad mails; Mailsteward archived my 48.000 'real' mails and left the spam mailboxes. Now I have a databse of arounf 8 Gb (with all attachments included) and this does make me feel more safe ... now only how to archive this big database again ... :-) Searching is going ok but when you tell it to search from the beginning of your mails (in my case from the year 2000 until now); it takes as much time as Apple Mail and that is a lot of time. I did index and compact the database but not a real difference it seems.

I would recommend this to anyone wanting a good backup of their emails and as a search tool for past e mails too. apple should figure out what this developer did to make their search features as good as this. the developer must be tied into his search feature because he replies immediately and very, very helpful and nice as well.

The downside is that, to use MailSteward, I must export my mail files to UNIX mbox format and then import them into the MailSteward database. It's well worth the effort. MailSteward, through all of its many revisions, has worked flawlessly for me. Now, with ~15,000 e-mails in the MailSteward databse, the new indexing feature has made it even faster to report search results (and it was plenty fast before). Bottom line: MailSteward is a great program, in my opinion, and well worth the money. -Don-

I had to get used to the fact that it runs so quietyly in the background that you don't really know that it is working; yet, every time I check to see if yesterday's emails were, in fact, achived... there they are! So rock solid that I've taken to routinely deletely all emails from Mail that are more than 3 months old... in fact, I believe that I could reliably change that to all emails that are more than 3 hours old. All your emails are in a great searchable database including attachments that are searchable is so many ways. And, as per another reviewer, the whole Mail app, if not the whole Mac itself, runs faster and smoother since installing MailSteward. So of the best money I've ever spend on software.
