Works well as a basic utility and simple Clearinghouse
If you require a "Custom" report your queries are limited to their selections and when you're query is for a patient the DOS (Data of Service) is not included (What?). If you have a practice with multiple locations and you need reports by individual locations you're out of luck! There are, however, many meaningless Defaults.
It's not "Rocket Science" the information is there because we put it there.
You must beg for access for your information by submitting a "Feature Request" and there isn't a response to the request and they're ignored on the forums. The "Community Forum" no longer exists - You now need to complete a survey for your request(s)
Notes you provide are inaccessible, you aren't allowed to copy, you must run a report - What a waste of time!
The response I receive is that there aren't any companies providing "Feature Requests". That is why they dropped the forum - Now complaints, Issues and Requests are hidden from perspective new clients.
Make sure you compile a list of everything you require and have them agree "in writing". Make sure you do your "due diligence" and check reviews from real users (like me) and make sure all reports provide all the information you require. If the only way you can collect the information you need is by combining the results of 2 or more reports decide if that's the way you want to waste your users' time.
Return the "Community Forum" and respond to your customers - Don't hide!
It is user friendly
We have had Kareo PM and Kareo EHR since June of 2014. We currently have 25 providers operating out of this system. Since subscribing to this software through our contracted billing company we have had to devote thousands of in house man hours to correcting problems with the PM and EHR not syncing correctly. We have implemented everything suggested up to this point and have asked for help from Kareo dozens upon dozens of times and NOTHING has fixed it. It has been a disaster.
Do not purchase this program if you have more than a few providers utilizing it at the same time.
Easy to use software, a simple claims processing service. Your office will still need a billing person to explain account status to patients!
Make sure you understand what you are signing up for. I feel like they are letting you use their software and collecting a percentage of your collections. I do not know who actually does the work but every 4 months I was assigned a new representative. WATCH YOUR ACCOUNTS RECEIVABLE- they will go after the easy money- any rejected claims are left to lie or turned over to patient responsibility. In 1 month's time I just watched my 120+ days insurance receivables jump 50%!!!
Having Kareo do your billing does not remove your practice from billing. They need to be watched- I believe they are simply a claims processing service- it is not worth their time to follow up on difficult claims processing issues.
Very affordable and the ease implementation is awesome. This is truly the easiest to learn and use billing system around.

My name is Debbie Sullivan and I am the founder and CEO of DR Medical Billing and Consulting, LLC in New Jersey. I opened my company over 3 years ago to offer billing and consulting services to small struggling medical practices. Our company is unique as we allow the practices to continue using their current practice management systems, we just become an extension of there office as their offsite "billing department". I noticed, after meeting with several older smaller practices, several offices were still using the old ledger system, using google calendar to make appointments, their clearinghouse to submit claims and quickbooks to keep track of payments. Not a very good system!!! I began the task of finding an easy to use, all-in-one, affordable solution and I found it with kareo.
Kareo is very user friendly and easy to teach... my offices were blown away with how easy it was to implement and to use. It made their lives so much easier. Instead of 4 different systems they only had to log into one and all the providers really like the reports they could easily print on demand. One of my Geriatric docs is impressed that he is able to log-in and get patient phone numbers to call them from anywhere to give them test results or check in on sick patients.
I currently work with 11 different practice management systems, but I always recommend Kareo to practices that have out dated systems or none at all. Out of all the systems we use Kareo is the most user friendly, easy to implement, affordable, great customer support, and has the best reports on demand.
I highly recommend Kareo to anyone in need of a great practice management system!!

Hi Debbie, would you be able to answer some questions for me about Kareo? We are having a diffcult time navigating through the system.
Kareo was easy to install and the team was extremely helpful to get it up and running. I had no previous billing experience and was able to start sending claims and statements right away. We are saving money from outsourcing billing and now are in control!
If you are going to take on billing, make sure you have the time and are willing to invest in the process. It's not always an easy process but definitely worth it in the long run.
Would highly recommend!
What I like best about Kareo is that it already has connections with vision insurance companies with Gateway. Implementation called within 24 hours of sign up, was on-time for scheduled webinars and was always available for phone support calls.

-Excellent customer service (only in the beginning to get your legs in)
-They claim fast set up but you discover it to be just illusion
-Seems very inexpensive but you discover the software is of very low quality as it lakes a lot of important features
1-Poor customer service particularly at the level of data transfer and billing services.
2-System lacks a lot of features such as poor scheduling, you need several steps to do a task, slow computers, not user friendly, difficult to figure things yourself
3-They are good in the beginning but once you sign a deal with them, you think they will be at least as good, they just simply drop you, no timely follow ups on your calls or inquiries, or problems. If you run into a major issue, you are on your own.
Being very expensive and have good initial customer service, they trap you.
Once you are in and you start using the software in your practice, you discover how cheap their customer service and follow up.
-You run into major problems even with simple start up things
-Weekends: forget it, no support or follow up
Some of the features of Kareo that I especially like include the pay-as-you-go model (so that I never feel tied down), ERAs (makes posting payments very easy), running reports using various variables, and sending patient statements through Kareo with a click of the mouse.

I started my own practice from scratch just a little under a year ago. As a solo practitioner, I had to keep costs contained yet be efficient at the same time. Kareo allowed me to do both. I looked at various EMRs and billing systems. In the end, I decided on Practice Fusion which integrates well with Kareo. With Kareo, I felt that the setup process with insurance companies and the clearinghouse was seamless. The Implementations Team was great in helping me navigate through the various features as a Kareo newbie. Once I got my feet wet and became more adept at using Kareo, they let me venture into the deeper waters on my own, still knowing that I had the support staff by my side if I ever needed it. And I can access Kareo at home or in the office too--24 hours a day, 7 days a week. Here I am, almost a year out, very happy with my decision to have chosen Kareo and glad I didn't waste my time and money on other billing services.
Their support staff is friendly and knowledgeable. They have exceeded our expectations in customer service. The program is user friendly and is web based so it can be accessed anywhere. We currently have about a 17 day turnaround which is a huge improvement from our previous billing company. I would recommend Kareo to any office who is looking for quick, accurate billing assistance.
No cons at this time. Kareo has met every one of our needs.
If you are looking for a new billing company, Kareo is an excellent choice.
The ease that I found using Kareo was a lifesaver. All of the information you need is only a click away. Billing out encounters is very simple; it is a three step process, mostly done electronically. Sending them electronically is so much more beneficial because you can track from start to finish where your claim is. The ease in which you can track your claim status, i.e. by pending claims, denied claims & rejected claims is phenomenal. Within the specific claim, there is a rejection message or denial message that tells you exactly why your claim is not processing and what you need to do to fix it. This saves time with not having to pick up the phone and call every insurance company. Our A/R was about 35% when I started in this practice. Within a few months I had the A/R to an outstanding 6%. I strongly recommend Kareo to any offices in need of reliable, accurate, efficient billing software!
It can be challenging to use the site at first, but worth it in the end!
